Transparency and Budget

Earthpeace is built on a simple standard: you should be able to see where the money is, where it goes, and why it went there—without compromising anyone’s safety or privacy. ✅🌍

 

This page explains how funds are held and governed, how spending decisions are made, how reporting works, and how you can verify everything that can reasonably be verified.

 

Who holds the funds (Legal Entity)

All contributions are received and administered by the Earthpeace Association, the responsible legal entity for Earthpeace.

Where the funds are held

Earthpeace funds are held in a dedicated, ring-fenced project account owned by the Earthpeace Association and used exclusively for Earthpeace activities.

Independent oversight

To keep governance credible and verifiable, Earthpeace operates with independent oversight.

Your transparency in practice (what we publish)

We publish information at three levels—public summaries, detailed ledgers, and supporting documents—with appropriate redactions for security and privacy.

 

1) YearlyTransparency Update (public summary)

Published yearly and includes:

Opening balance

Total inflows (donations/sponsorships)

Total outflows (spend)

Closing balance

Spend by category (high-level)

Key operational milestones and upcoming commitments

 

2) Public Ledger (categorized transactions)

A readable, downloadable ledger showing:

Date

Counterparty type (donor/vendor/contractor/tax)

Description (high-level)

Category

Amount

 

3) Supporting documents (redacted where necessary)

Published as appropriate:

Invoices/receipts (redacted)

Contracts / scopes of work (summary or redacted excerpts)

Procurement notes for material vendors

Independent review letters / audit documents

Privacy and security (what we do NOT publish)

 

We will not publish:

Full bank account numbers/IBAN, online banking details, or live access

Donor personal data (names, addresses, bank references) unless explicit opt-in

Sensitive vendor banking details or information that could create security risks

Personal addresses/identifiers of team members

 

We aim for maximum transparency with minimum vulnerability.

Controls and spending rules (how money is protected)

Earthpeace uses operational controls designed to reduce misuse and increase accountability:

Two-approval rule for material expenditures above 1000 $

Segregation of duties: the person approving a spend is not the same person reconciling it

Procurement discipline: competitive quotes for purchases above 1000$

Conflict-of-interest policy: disclosures required; conflicted parties do not approve decisions

Budget controls: category caps; change logs for re-allocations

Monthly reconciliation: ledger totals reconciled to bank statements and processor reports

Document retention: receipts/invoices archived and available for review (with redactions)

Use of funds (Budget)

Earthpeace funding supports the infrastructure required to realize the Earthpeacesummit, Global Humanchain, and Earthpeaceassembly—responsibly and at scale.

Budget allocation (baseline plan)

35% — Platform & Technology (site, translation, streaming infrastructure, data/CRM, security) 📡

25% — Operations & Logistics (planning, coordination, safety, permits/insurance, vendor management) 🧭

20% — Programs & Events (Summit/Humanchain/Assembly production elements and local enablement) 🕊️

10% — Governance, Legal & Compliance (entity operations, reporting, policies, contracting) ⚖️

10% — Transparency, Evaluation & Contingency (independent review, measurement, unforeseen costs) ✅

The campaign target is $888,888,888 which is divided in:

35% = $311,111,111

25% = $222,222,222

20% = $177,777,778

10% = $88,888,889

10% = $88,888,888

If your live fundraising target differs, we will publish the same allocation framework and update the absolute amounts accordingly.

Milestone-based release (how spending scales responsibly)

Funds are deployed in phases to prevent overextension and ensure accountability:

Phase 1 — Foundation & Compliance: governance, transparency systems, core platform, initial partnerships
Phase 2 — Mobilization: local toolkits, translation, volunteer onboarding, pilot activations
Phase 3 — Global Coordination: production-scale logistics, safety, media, technical delivery
Phase 4 — Delivery & Legacy: documentation, curriculum/education outputs, long-term maintenance

Each phase is paired with published deliverables in the monthly update.

Monthly inflows/outflows reconcile to the ledger totals

Major expenditures have supporting documents (appropriately redacted)

Independent reviews confirm the existence and operation of controls

Material budget changes are logged and explained publicly
